ARTICLE: Audit Log – Identify which Staff PIN was used for a SISO

 

Audit Log

The Audit Log maintains a record of all transactions, communications, or events that have occurred within your schools Reach portal. This is the accumulated data of historical recordings, the ultimate filing cabinet within Reach.


Example

SISO from a Kiosk with Staff PIN required - How to identify which Staff PIN was used.

A student is ready to sign out utilising a stand-alone kiosk system, with the current school settings, a staff PIN is required. The PIN is entered and the student signs-out. When staff need to confirm which staff member used their individual PIN to SISO, the Audit Log can be used. 


Solution

First Method

The User Account that was used during a SISO transaction, is indicated within the Student Sidebar.

Go To: Sidebar Menu >> Select Student >> History Tab >> SISO History

Here, each card provides details of that specific SISO transaction, at the bottom of each card is the name of the user account that processed the transaction. The Bike Riding item was via Kiosk SISO and other was by the staff member Garry.


Second Method

To identify the use of a Staff PIN or an override PIN, we use the Audit Log to view the transaction data, which will provide the users Contact ID. 

Go To: Dashboards >> Audit Log 

  1. In the Keywords field, enter the surname of the student
  1. In the Module field, select SISO
  1. Click to green Search button


The results list provides data for the associated SISO events, rank the data as required by using the arrows in each column header.
Once the specific event is found, the Summary will state "Student SISO to Leave", click on the line item, the Audit Summary and Timeline appear for that item.
At the bottom of each section, the Contact ID is provided, copy the Contact ID and continue with the next step.



Go To: People Management >> View Contacts
Enter the Contact ID number into the Search field, this will reveal which staff member used their individual PIN to SISO the student.
