ARTICLE: Communications Module - View My Mailbox


Reach provides a useful and convenient messaging capability that can be used to contact any individual user or group of users within your schools Reach Portal.  

Go to: Communications >> View My Inbox


The Mailbox is your message hub, click on Inbox / Sent / Trash to view all items.
Simply click on any line item to view, the mailbox will slide down to reveal the message details / send data / subject / text / recipients.
Click on the line item again to close.

Functionality of the header bar menu is as follows;
  1. This square button is the bulk selector, simply click this to highlight all mail items, then use the drop-down menu (item 2) to manage those items, also an additional Rubbish Bin icon will appear for use.
  2. Drop down menu, select any single or multiple of mail items, then click on the required menu option
  3. This icon represents the refresh feature, if you are expecting mail, click this to refresh your Mailbox
  4. Filter drop-down menu, select an item to change the view of your mail items
The next item is to create new mail, simply click on the New Message button.

 The three buttons along the top provide the main options; Send Now / Cancel / Choose Templates.

Using Templates
  1. You can load save templates for New Messages by selecting Choose Template and select from a saved template.  
  2. To save a message as a template to use again in the future, fill in the Subject, Message Type, Priority and the Message details, then select Choose Template and Add New.  Give your new template a name and save.
  3. If you no longer need a listed template, select the trash can icon to Delete from the template library.

The ability to add and delete templates will depend on a user's permission settings.  Those can be configured by role type through System Configuration > Infinity or based on the individual user through People Management > View Contacts and selecting the user's Accessibility tab in their profile settings.


Subject
To add a message header, simply click on the Subject line and enter the required subject heading for the message.


Recipients 
Sending message to individuals, groups or a combination of groups is quick and easy.

Send to Individuals
You can send a message to any individual user, simply start typing a user's name and their name will appear in the search panel, click the person's name to add to the Recipients list.
To add an additional individual, repeat this process.

Send to Entire Groups or a Combination of Users
Click on the Green people icon on the right-hand side, this will open the Contact Selector window.

1. Use the filter list, simply click on the plus icon for any group, that group will slide to open.  Click to select any item, or click on 'Select all'. Click the minus icon to close the window, you can open any group to select any combination of items.
2. Once you select a Filter List, the users that relate to the selected filters will auto populate in the center column.  You can 'Select All' or select individual selections for a custom combination. 
3. After selecting who you would like to send the communication to from the filtered list, select 'Add' to List.
4. On the far right you will now see the total count of recipients.  If selecting students, you can chose to include their associated parents on the communication message by selecting the plus sign to the right of the student count and then select 'Add These Boarders' Parents'. 
5. Once you have all required recipients, select Done.



Messages sent out through the Communications module are one-way communication.  Recipients are not able to reply directly to the email, so please be sure to include instructions on who recipients should direct any responses to by providing that information in the body of the message.


Message Type
Sending options are provided in one of four (4) methods:

Select one or a combination of delivery methods if required.
Email will send an email using the Reach email server to the recipients
Internal Messages transfer across the Reach portal and mobile logins only, these messages will appear in the Reach main header bar
SMS messages will send - only If you have SMS messaging connected to Reach - Please view the following article for further information;  SMS Messaging in Reach
Push messages are free and are sent from Reach to the Reach mobile app.  Receiving messages requires the user to have the Reach mobile app installed, and notifications activated


Priority
This option shows the 'Normal' priority as the default sending method, click on the line to select the 'High' item.


Message
The message field allows for long and complex messages to be sent as required.
Many formatting options are provided, as can be seen with this image.



Please Note: Full formatting detail of complex messages can not be sent to all Message Type methods, ie, a complex email can not be send via SMS, as this is a text only format.
