ARTICLE: How to setup Emergency Contacts


The emergency contact details for  any Reach user can be setup view their individual profile.

Main Menu >>People Management >> View Contacts >> Profile 

View Contacts

The People Management page presents current/active contact profiles via a table view, which can be adjusted with the filters provided.
Here you can view, collate, rank and export data as required. This page also allows the creation and bulk management of contact profiles.
To click on a line item will open the profile, across the top is a row of tab pages grouping data for the individual.

Associations Tab

The Associations tab is where you connect the required profiles that are associates of a specific profile.
Example; Connect Karen Biggs to her Parental profiles.
Associations play a critical role in the Reach system, as they determine with who students are permitted to go on leave with.

Here you can set a contact profile as the emergency contact, in the example image, Karen's mother Jane Biggs, has been set.
Only one profile can be the emergency contact at any one time.
To change this, simply click on the line item, update the 'Type of Association' and click the green 'Save Association' button, and save the profile.




Medical Tab

An additional data field to list emergency contact details is the Medical Tab, update as required and remember to save the profile.

User Defined Fields

This method allows you to create an information icon that appears on the student card within the Kiosk Screen.




User Defined Fields (UDFs) can be configured in your System Configurations and assigned unique icons for quick reference in Kiosk view. Each student card will show any icons that correspond with configured UDFs based on the data entered into their profile.
The following are some examples of that what the icons could be representations of:
  1. Person - Emergency Contact details 
  2. Small – The student can drive or has permission to ride with other drives
  3. Heart – The student has a medical condition

Once the 'Emergency Contact' User Defined Field has been created within System Configuration, open the required contact profile to enter emergency contact details.

Student Sidebar menu 

Once the emergency contact details are set and saved in the profile, the data is viewable via the student sidebar, simply click on the menu icon, select the required student;
The first way to view the data is via the UDF's, simply scroll down to view the emergency contact information.



The second way to view the data is via the Associations tab, then scroll down to the bottom, here the Emergency Contact can be seen.
