ARTICLE: Veracross Attendance Sync for Approved Leaves in Reach

Veracross Attendance is not enabled by default for schools that sync with Veracross, but if there is a desire for the Veracross Attendance sync to be enabled, please contact support@reach.cloud to make that request and we can enable the configurations for the school's portal.  The sync is not bi-directional with Veracross, but rather will sync from Reach into Veracross the attendance mark for a student who has an approved leave request and is signed out in Reach.  The writeback into Veracross will generate a Student Logistics Request (SLR) and will update the student's Daily Attendance Record in Veracross.

Once the feature is enabled in a school's Reach portal, the school can set the individual configurations for each Leave Type in their system.

To configure the Veracross Attendance Mark, go to System Configurations > Leave Type.  For each leave type required, select the leave type and in the General tab within the Leave Type Settings and in the section titled 'Veracross Mark' designate selections to be used within each filter for that particular Leave Type.  Be sure to save changes both in the Leave Type's configuration page and the System Config Leave Type page.
  1. Status SelectionWhat Veracross Default Request Status for the Logistics Request Reason should be used for their absence?  Veracross sets the value to "Pending", which requires database intervention to approve. If the intent is that Reach’s attendance writeback should update the SLR’s Default Request Status to “Approved” then the Default Request Status should be set to "Approved" in this drop down.
  2. Category Selection - What Veracross Logistics Request Category should be used for their absence?
  3. Reason Selection  - What Veracross Logistics Request Reason should be used for their absence?
  4. Attendance Type Selection - What Veracross Default Attendance Status should be used for their absence?  By default, Reach assigns attendance codes based on the leave date and time. Use this option if you need to override the default and apply a specific Default Attendance Status for a Leave Type.
***Veracross has four Default Attendance Status values on a Student Logistic Request Reason. Each Reason has all four of these values. Generally speaking, schools should be setting something for all four values individually in their Veracross configurations.  Each Logistics Request reason will set a Default Attendance Status Code for each Attendance Category. When the Logistics Request is approved, the Student’s Attendance Record is updated to the default values set on this table. The drop down values for each default come from each school’s configured list of Attendance Status Codes. Not setting the correct value in the Default Attendance Status within Veracross can lead to issues with incorrect Attendance Status’ being posted in Veracross.

For example: In the image below, the “Student is Sick” Reason has a “Default Attendance Status - Early Dismissal” value of “Present”. If a request with this reason is processed through the Reach Attendance Integration, then the student will be marked present for the day in Veracross.

  1. Transportation Method Selection - What Veracross Transportation Method should be used for their absence, if any?
