Leave approval works via escalation, as dictated by the actor and approver levels created and managed by your school.
Leave Approval - Initial Setup Basics
Go To: System Configuration >> Leave types
Create a Leave Type
Within the Actors tab, the required approval process can be managed here for this specific Leave Type
Level one - select the Role responsible to approve the leave request
Select the communication method
Adjust all settings as required
Insert one or more Levels as required, repeat the process
Adjust all leave types settings as required within each setup tab
Click Save & Save Changes
Remember to test the leave types operates in the manner you have created
When a leave request is created, a leave type is selected, once that leave request is submitted, the actor at Level 1 will be sent an email, for them to action that approval request.
Reach will work its way through the approver levels sequentially, Level 2, will be notified, when Level 1 has approved, and so on through the entire leave approval process.
Leave Approval - Process
Staff with access to the Manage Leave screen, and permission to approve or edit leave, can approve a leave request at any time, even when a parent has not approved
A school should have clear protocols established with staff, as to when they can approve leave, if the leave request has not been approved by the parent
It is recommended that, when staff do approve a leave request, they should add details to the leave notes, explaining why leave is being approved without parent approval
Check if parents are receiving approval emails via - Dashboards >> Email Log
Staff that are identified as a designated approver for any leave type will be notified when it is time for their actor level to approve the leave request
Eg: If Staff are set as Level 3 actor approver, they will be notified, only after Level 2 has approved the leave request
However, staff have access to the leave request via the Manage Leave screen as soon as it is created, approval by proxy can be done at this time
Staff approving via the manage Leave screen are provided current details of all approvers that have approved the leave request from each level
Icons that indicate Approved, Pending, Declined and the associated details are provided in the leave approval audit trail
School administrators and staff members with leave approval permissions, should be mindful that if parents and/or hosts have not approved the leave request item, then the staff member, at that point, is overriding the parent/host approval requirement, this may conflict with your schools protocols
Leave approval emails can be recirculated to parents and/or hosts via the Audit Trail as required
